Case studies
It’s one thing to say I have over 17 years’ experience in organising and managing events, but what does that actually look like in practice? Over the years, I’ve been involved in hundreds of events, and no two have ever been the same. From academic workshops to large-scale trade shows, each project comes with its own challenges, opportunities, and creative solutions - and each one has taught me something new about delivering seamless, memorable experiences.
Case Study: Academic Workshop on Responsible Innovation
The brief
My client was hosting a workshop at the University of Glasgow to provide training on responsible innovation. They needed support in designing an engaging programme, managing logistics, and ensuring the event ran smoothly on the day.
What I did
Programme design: I created the full event programme, balancing speaker presentations with Q&A, group work, and regular breaks to support networking and comfort.
Speaker management: I provided clear briefs so each speaker understood their role and time allocation, helping them feel prepared and confident.
Interactive tools: To encourage participation, I introduced Mentimeter, allowing attendees to share thoughts and questions anonymously, with results displayed in real time.
On-the-day delivery: I was onsite to ensure the set-up was correct, timings were kept on track, and everything ran smoothly.
Materials & logistics: I designed the programme and information leaflet in Canva, and liaised with the venue to confirm all requirements, including catering, were met.
The outcome
The workshop ran seamlessly, with strong engagement throughout. Attendees valued the mix of presentations, interaction, and networking opportunities, while the client appreciated the well-structured agenda and professional delivery. The use of Mentimeter helped capture a wide range of perspectives, making the session more inclusive and dynamic.
Client feedback
"Having Hazel’s expertise made such a difference to my event. I knew I could rely on her completely – when she said she would do something, she did it, which took a huge amount of stress off my shoulders. She brought creative ideas to enhance the workshop, like using Mentimeter to encourage real-time interaction, and her suggestions always added real value. Her professionalism, reliability, and ability to understand exactly what was needed meant I had complete trust in her throughout the process. Having worked with her before, I knew I was in safe hands – and once again, she delivered an excellent result."

Case Study: Trade Show Presence
The brief
While working as an in-house Event Manager, I was responsible for ensuring the organisation had a strong presence at a major industry trade show. This included a fully designed, built and managed exhibition stand, a speaker programme, and on-site hospitality. I was responsible for end-to-end planning, supplier management, and day-to-day coordination to ensure the event ran smoothly and delivered maximum impact.
What I did
Stand management & procurement: Booked stand space, sourced suppliers, and managed the procurement process for the exhibition stand build, ensuring quality and adherence to budget.
Programme & speakers: Organised a schedule of speakers both on the stand and at the event conference, making sure each session ran smoothly.
Staff & logistics: Coordinated staff accommodation, created rotas, and managed daily on-site operations.
Catering & hospitality: Arranged giveaways, hot drinks, and catering for every day, including a drinks reception.
Event planning & flow: Considered AV requirements, stand footprint, traffic flow, storage solutions, and overall promotion of the company presence.
The outcome
The organisation had a fully managed, professional, and engaging presence at the trade show. The stand ran efficiently, attendees engaged with the team, and the speaker programme and hospitality were delivered seamlessly, allowing team members to connect with prospects and partners while knowing every detail was taken care of.
Client feedback
“Hazel has an impressive ability to predict any potential issues in the run-up to an event, and then figure out how to avoid them. I think this springs from a combination of extensive experience and finely tuned intuition. At the trade show in question – as at numerous other events where I have worked with Hazel – the organisation’s presence and programme were greatly enhanced by her management of suppliers, speakers, and logistics. She balanced the needs of the team and the experience of our audience perfectly.” Benedikte Ranum, The Right Note
